Terms & Conditions for Grounds Maintenance Services<\/h1>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t

These Terms & Conditions form the agreement between\u00a0Roff Co Ltd<\/strong>\u00a0(the \u201cContractor\u201d) and the business or organisation instructing the works (the \u201cClient\u201d). By accepting a quotation, the Client agrees to the following terms.<\/p>\n

\n

1. Cancellation<\/strong><\/h3>\n\n

The Client may cancel the contract within\u00a07 days of accepting a quotation<\/strong>\u00a0by written notice (email or letter).
Cancellations made on the day of scheduled work, or where access prevents work being carried out, may be charged in full (see Section 10).<\/p>\n

\n

2. Quotations<\/strong><\/h3>\n\n
    \n
  • Quotations for\u00a0ad hoc or one-off work<\/strong>\u00a0are valid for\u00a030 days<\/strong>\u00a0from the date of issue.<\/li>\n\n
  • Quotations for\u00a0annual or ongoing contracts<\/strong>\u00a0are valid for the\u00a0upcoming maintenance season only<\/strong>, and not thereafter.<\/li>\n\n
  • Quotations are based on the site conditions observed or described at the time of assessment.<\/li>\n\n
  • Variations may be required if conditions differ or additional works are requested (see Section 3).<\/li>\n<\/ul>\n
    \n

    3. Variations & Additional Work<\/strong><\/h3>\n\n

    A quotation may be revised if:
    a) The Client requests changes to the specification or schedule.
    b) Site conditions differ from those originally assessed.
    c) Additional works are requested while on site.<\/p>\n\n

    All variations will be confirmed and agreed in writing prior to commencement.<\/p>\n

    \n

    4. Site Information & Hazards<\/strong><\/h3>\n\n

    The Client must inform the Contractor of any site hazards before work begins, including underground services, hidden structures, or restricted access.
    The Contractor will not be liable for damage to undisclosed structures or utilities.<\/p>\n

    \n

    5. Payment Terms<\/strong><\/h3>\n\n
      \n
    • Invoices are payable within\u00a030 days<\/strong>\u00a0of issue.<\/li>\n\n
    • Alternative terms must be agreed\u00a0in writing<\/strong>\u00a0before acceptance of quotation.<\/li>\n\n
    • Annual maintenance contracts are billed on a\u00a0split-level basis<\/strong>, where the agreed annual sum is divided into\u00a012 equal monthly payments<\/strong>.<\/li>\n\n
    • Concerns regarding completed work must be raised in writing within\u00a036 hours<\/strong>\u00a0of completion.<\/li>\n<\/ul>\n\n

      Late payments will be subject to interest and charges as outlined below (see Section 6).<\/p>\n

      \n

      6. Late Payment Charges & Debt Recovery<\/strong><\/h3>\n\n
        \n
      • Interest:\u00a08% above the Bank of England base rate<\/strong>\u00a0in accordance with the\u00a0Late Payment of Commercial Debts (Interest) Act 1998<\/strong>.<\/li>\n\n
      • Fixed late payment fees: \u00a340 (under \u00a31,000), \u00a370 (\u00a31,000\u2013\u00a310,000), \u00a3100 (over \u00a310,000).<\/li>\n\n
      • Invoices outstanding beyond\u00a090 days<\/strong>\u00a0may be referred to debt recovery, and any reasonable costs incurred for collection will be charged to the Client.<\/li>\n<\/ul>\n
        \n

        7. Services & Limitations<\/strong><\/h3>\n\n

        Grass Cutting<\/strong><\/p>\n\n

          \n
        • Grass areas will be maintained to a standard cut height of\u00a0approximately 50mm<\/strong>, unless otherwise specified in writing.<\/li>\n\n
        • Grass will be\u00a0cut and mulched to a tidy finish<\/strong>, with clippings left on-site to naturally decompose and return nutrients to the soil.<\/li>\n\n
        • Under normal conditions,\u00a0growth rates are faster in spring than in summer<\/strong>, which may result in slight variations in cut appearance between visits.<\/li>\n\n
        • Cutting frequency will follow the agreed schedule, subject to weather and ground conditions.<\/li>\n<\/ul>\n\n

          Hedge Maintenance<\/strong><\/p>\n\n

            \n
          • Hedges will be trimmed and shaped to maintain a consistent and professional appearance suitable for commercial environments.<\/li>\n\n
          • The Contractor does not guarantee uniform growth or long-term form retention due to natural regrowth and environmental conditions.<\/li>\n<\/ul>\n\n

            Weed Control & Chemical Treatments<\/strong><\/p>\n\n

              \n
            • Only total weed-kill treatments on hard surfaces (e.g., car parks, pathways, and paved areas) are provided.<\/li>\n\n
            • All herbicide applications comply with UK legislation and manufacturer guidelines.<\/li>\n\n
            • The Contractor cannot guarantee permanent prevention following a single treatment.<\/li>\n<\/ul>\n
              \n

              8. Scheduling & Weather<\/strong><\/h3>\n\n
                \n
              • Scheduled maintenance visits will take place within the\u00a0week they are booked<\/strong>. The Contractor guarantees completion of the service\u00a0within that calendar week<\/strong>, unless prevented by exceptional circumstances (see Section 12 \u2013 Force Majeure).<\/li>\n\n
              • A\u00a0weekly visit<\/strong>\u00a0is defined as one service within a 7-day period; a\u00a0fortnightly visit<\/strong>\u00a0as one service within a 14-day period.<\/li>\n\n
              • The Contractor may adjust the specific day of attendance within that period to accommodate weather conditions, operational requirements, or site access.<\/li>\n\n
              • In cases of extreme weather or unsafe ground conditions, work may be postponed but will be\u00a0rescheduled within the same week wherever practicable<\/strong>.<\/li>\n<\/ul>\n
                \n

                9. Access & Cancellations<\/strong><\/h3>\n\n
                  \n
                • If the Contractor cannot access the site (e.g., locked gates, vehicles blocking access, or safety concerns), up to\u00a050% of the quoted fee<\/strong>\u00a0may be charged.<\/li>\n\n
                • If cancelled on the scheduled day or upon arrival,\u00a0100% of the quoted fee<\/strong>\u00a0may be charged.<\/li>\n\n
                • Weather-related postponements will not incur a charge.<\/li>\n<\/ul>\n
                  \n

                  10. Damage & Liability<\/strong><\/h3>\n\n

                  The Contractor will take reasonable care but will not be liable for:<\/p>\n\n

                    \n
                  • Existing defects (e.g., unstable fencing, pre-damaged plants, or worn surfaces).<\/li>\n\n
                  • Accidental damage caused by hidden debris, stones, or foreign objects.<\/li>\n\n
                  • Incidents resulting from pre-existing site hazards or conditions beyond the Contractor\u2019s control.<\/li>\n<\/ul>\n\n

                    All damage must be reported immediately for investigation.<\/p>\n

                    \n

                    11. Common Areas, Pets & Personal Items<\/strong><\/h3>\n\n
                      \n
                    • In communal or shared areas (e.g., business parks, housing developments, or managed estates), the Client must ensure areas are clear and accessible prior to visits.<\/li>\n\n
                    • Pets must be kept away from operational areas during and immediately after works.<\/li>\n\n
                    • The Client must ensure all\u00a0movable or personal items<\/strong>\u00a0(such as planters, signage, outdoor furniture, decorations, or vehicles) are removed from work zones before visits.<\/li>\n\n
                    • If such items remain, the Contractor may:\n
                        \n
                      • Move them if reasonably safe to do so (at the Client\u2019s risk), or<\/li>\n\n
                      • Work around them, leaving the area untreated.<\/li>\n<\/ul>\n<\/li>\n\n
                      • The Contractor accepts no responsibility for damage to movable, decorative, or personal items left within work areas.<\/li>\n<\/ul>\n
                        \n

                        12. Force Majeure<\/strong><\/h3>\n\n

                        The Contractor is not liable for delays or non-performance caused by events beyond their control, including extreme weather, government restrictions, supply chain issues, or equipment failure.
                        Work will resume as soon as reasonably possible.<\/p>\n

                        \n

                        13. Insurance & Compliance<\/strong><\/h3>\n\n

                        The Contractor holds\u00a0\u00a310m Public Liability<\/strong>\u00a0and\u00a0\u00a310m Employers\u2019 Liability Insurance<\/strong>\u00a0(certificates available upon request).
                        All works are carried out in accordance with industry standards, health & safety regulations, and site-specific risk assessments.<\/p>\n

                        Final Notes<\/strong><\/h3>\n\n

                        These Terms & Conditions apply to all grounds maintenance works carried out by\u00a0Roff Co Ltd<\/strong>.
